Authorize Microsoft Outlook Calendar Access
The Calendar Sync integration will keep Ambition's scheduled coaching check-ins in sync with a manager's Microsoft Outlook calendar.
If a one-off check-in needs to be rescheduled, the date and time can be updated either on the calendar event or within Ambition, and both the calendar event and Ambition will be updated accordingly.
If a recurring 1:1 needs to be rescheduled, the date and time can be updated by editing the calendar event! Update the calendar invite and Ambition will ensure the meeting time change is reflected in Ambition. At the current time, calendar invites will be sent for recurring check-ins that are created after the manager initially authorizes their calendar.

Authorize Calendar Access
If the Calendar Sync integration is enabled and Microsoft Outlook is selected as the Calendar Provider, users with system manager permissions will be presented with the option to authorize their Microsoft Outlook calendar.
Each manager that wants to use the enhanced calendar functionality will authorize their own calendar.
1. Navigate to your personal dashboard and click Edit Profile.
Alternatively, open the left navigation and click on your image and name in the lower left corner. Select User Settings.
2. Locate the "Microsoft Outlook Calendar Sync" section of your user settings.
3. Click Connect Calendar.
4. When prompted to "Log in with Microsoft Office 365", click Continue.
5. Input your Microsoft credentials and continue the authorization process.
6. After authorizing, the Microsoft Outlook calendar sync section within your user settings page will show as Connected.
Microsoft requires a re-login every 90 days. Within the user settings page, the user will see the status and remaining days until reauthorization is required.
Rescheduling a Check-In
If your calendar has been authorized, an Outlook calendar invite will be placed on your calendar as well as the employee who the check-in is with when a "Scheduled for Later Check-In" is created in Ambition. Connecting your Outlook calendar with Ambition allows for seamless rescheduling of the invite.
If a one-off check-in needs to be rescheduled, the meeting date and time can be updated either on the Outlook calendar event or within Ambition, and both the calendar event and Ambition will be updated accordingly. If a check-in is rescheduled by updating the Outlook calendar invite, any changes to the meeting date and time in Ambition will be updated. Updating the meeting date and time on the calendar invite will update the check-in's meeting date and time in Ambition including when a co-coach updates the meeting time in Ambition.

When a manager creates a check-in and their Outlook calendar is not authorized, Ambition will attach an .ics file alongside the "Check-In Started" email. Ambition will be unable to reflect any schedule changes that are made to the .ics file within the Ambition interface. Similarly, if the check-in's meeting date is updated in Ambition, the corresponding .ics file will not reflect changes made in the Ambition interface.
If a co-coach edits a check-in's meeting date where an Outlook calendar event doesn't yet exist, and the co-coach is a manager who has authorized their Outlook calendar, then a calendar invite will be created in Outlook with the co-coach as the owner.
Reauthorize Calendar Access
If the Calendar Sync integration is enabled and the manager has previously authorized their calendar, users with system manager permissions will be presented with the option to reauthorize their Outlook calendar within their user settings at any time.
Each manager that wants to use the enhanced calendar functionality will need to keep their own calendar authorized.
If a manager's calendar becomes unauthorized, existing recurring check-ins they conduct in Ambition will stop being generated. Once reauthorized, recurring check-ins will continue being generated again going froward. If the manager does not intend to reauthorize the connection between their Outlook calendar and Ambition, they will want to finish any existing series of recurring check-ins and recreate them to ensure check-in creation.
Authorization Frequency
Microsoft requires a login every 90 days in order to sustain Ambition's access to your calendar.
Authorization Prompt
If Ambition's connection to a manager's Outlook calendar will expire in 14 days or less, the manager will be prompted to refresh the connection when they access a check-in, recurring check-in, or check-in form (create/edit) within Ambition.
In the case of an expired connection, managers will be prompted to reconnect their calendar when accessing a check-in, recurring check-in, or check-in form (create/edit) within Ambition.
Reauthorize Calendar Access
1. Navigate to your personal dashboard and click Edit Profile.
Alternatively, open the left navigation and click on your image and name in the lower left corner. Select User Settings.
2. Locate the "Microsoft Outlook Calendar Sync" section of your user settings.
3. Click Refresh Authorization Now.
4. When prompted to "Log in with Microsoft Office 365", click Continue.
5. Input your Microsoft credentials and continue the reauthorization process.
Revoke Calendar Authorization
If the Calendar Sync integration is enabled and the manager has previously authorized their calendar, users with system manager permissions will be presented with the option to disconnect their Outlook calendar within their user settings.
Each manager that no longer wants to use the enhanced calendar functionality will disconnect their own calendar.
If a manager chooses to disconnect their calendar, any existing recurring check-ins they conduct in Ambition will stop being generated. If the manager does not intend to reauthorize the connection between their Outlook calendar and Ambition, they will want to finish any existing series of recurring check-ins and recreate them to ensure check-in creation.

3. Click Disconnect Calendar.
4. Confirm by clicking Disconnect Calendar.
Any coaching events that are already on your calendar will not be affected.
