What do I need to know about user activation history and member since dates?

Activation History and Member Since Dates

What is the user activation history?

A user's activation history indicates how long the user has been active in Ambition and the point in time the user's data will begin being aggregated into organizational totals for metrics.

A user's activation history can be seen on the right hand side of their user settings.

In the example below, this user would begin contributing data to Ambition from September 18th, 2021 forward.

How are user activation history and member since dates different?

User Activation History = Relationship between user and Ambition.

Member Since Date  = Relationship between user and a group in Ambition.

A user must first be added to Ambition before they can belong to any groups within Ambition.

Example below shows a user with a activation history of September 18th, 2021 with member since dates ranging from 2021 to 2025. At this time history for member since dates is not displayed, but only the most recent member since date is displayed

Member since date can also be viewed on the groups dashboard by clicking the Members button.

Member Since date will be listed alongside each member. The member since date represents when each user was added to the respective group.

How do activation and member since dates impact

Data

User activation history and member since dates have an impact on data at both the individual and group level.

  • Users only generate metric totals in Ambition from their user activation history date forward.

    • Example: Jane Smith is added to Ambition on June 1st. Even though Ambition has received data for Jane dating back to March 1st, Ambition only processes data from Jane's user activation history date, June 1st, forward.

  • When a user changes groups, their historical data is not moved from group to group. The user will stop contributing to their old group and begin contributing to their new group based on the member since date of the new group.

    • Note for scorecards: Since a user can only have one set of activity and objective score targets for a given time frame, if a user moves to a new role mid-month that has a monthly objective score, their previous objective score will be overwritten with the new role's metrics and targets. User's scorecard contributions will be reflected on any scorecards that they are in at the end of the given score time frame - ex. user's contributions will be reflected on the scorecard of a group they are in at the end of the month for a monthly objective score.

  • Users only contribute metric totals to groups they participate in, for the duration of their membership.

    • A user is moved into the Houston Location Group on February 25, 2025. None of the data points the user contributed prior to February 25, 2025 will be calculated into the Houston Location's metric totals or averages.

Scorecards

Scorecards are most commonly set up on a role, job function, basis. Because role is a group in Ambition, there is also an activation time, the member since date, associated with that relationship that impacts scorecards.

While custom scorecard targets can be set in Ambition, scorecard targets will be prorated based on when in the activity or objective score time frame a net-new Ambition user is created and added to their role. Example if a net-new Ambition user is not created in Ambition and added into their role until the 20th of the month, their monthly objective score targets will differ from an individual that was added to Ambition and the role on the 1st of the month.

If you are seeing a user without a custom scorecard target set, but displaying a differing target on their scorecard than other users in their same role, reach out to gethelp@ambition.com.

Since a user can only have one set of activity and objective score targets for a given time frame, if a user moves to a new role mid-month that has a monthly objective score, their previous objective score will be overwritten with the new role's metrics and targets. User's scorecard contributions will be reflected on any scorecards that they are in at the end of the given score time frame

ex. User's contributions will be reflected on the scorecard of a group they are in at the end of the month for a monthly objective score.

Group Goals and Competitions

Users will only contribute to group based goals and competitions from their member since in the respective group forward.

Example:

Betty was moved into the "East" team for a calls competition. While the competition started on Monday, October 12th, Betty's member since in Ambition was not updated until Wednesday, October 14th.

The "East" team is noticing that their overall calls total in Ambition is lower than expected, and they should be winning the challenge.

The manager of the "East" team notices Betty's "Member Since" date should be changed. Within the group editor, Betty's member since date is updated to be October 12th.

After the change, the team's total in the competition raises to include Betty's calls from Monday forward.

Update User Activation History or Member Since Dates

A user's Ambition activation history is not editable by the end user at the current time.

Member since dates can be set and edited by the customer with the group editor or with a user's settings. Dates can be set back in time up to the start of the previous month, ex. If it's January, I can select a date back to December 1st.

If you notice a data discrepancy that's a result of a user needing their activation history changed or member since date(s) set back further in time than the start of the previous month, reach out to gethelp@ambition.com.
