How do I create a recurring coaching program?

Recurring Coaching Program

A recurring coaching program is a traditional 1:1 that repeats at a set interval, weekly, monthly, etc.

Create a Recurring Coaching Program

Users with the "Coaching: Create Check-In", "Coaching: Create Program" or "Coaching: All Access" permission will be able to create coaching programs.

"Create Check-In" allows for creating a recurring program with a single employee.

"Can Create Coaching Programs for Any Manager" or "Coaching: All Access" allows for creation of coaching programs for any manager.

Combined with manager permissions, "Can Create Programs for Self" allows for creation of coaching programs for users the manager manages.

  1. Create a recurring program via:

    1. left navigation > Coaching > Sessions > + Coaching button

    2. a user or managerial dashboard > Coaching tab > New Coaching Item > Coaching

  1. Select Start Fresh.

    1. If you organization has created templates, you can alternatively select Use a Template. You can select start fresh and opt into using a template while completing the coaching form as well.

  1. Complete the new coaching form.

If the session has a specific purpose, ex. call coaching, we recommend defining an objective.

Coaching Format

Select Recurring Coaching Program.

Session Type

Select 1:1 Session.

Participant(s)

If you have "Coaching: All Access" or "Can Create Coaching Programs for Any Manager" permission to create coaching programs for any manager, first select the respective manager's name from the dropdown who the program is being created for then continue by selecting participants.

If you have "Can Create Programs for Self" permission, you will begin by selecting participants. Select employees who report directly to you or are in a group you manage.

Scheduling - For Multiple Employees

Scheduling Question

Question Description

When does the program start?

Select when the program's agenda should be made available to users by selecting a Start Date, Start Time and Time Zone.

The start date, start time and time zone are used to control when participants of the program can access the agenda.

How often does it repeat?

Use the drop downs to select how often sessions of the program should occur.

Common recurrence schedules are:

  • Daily (Every 1 Day)

  • Weekly (Every 1 Week)

  • Bi-Weekly (Every 2 Weeks)

  • Quarterly (Every 3 Months)

Pro Tip: Want to schedule your program to run on relative dates, for example the first Monday or the last Friday of the month? Set repeat to "Month" and then select one of the options available. 

When is each session due?

How many days should each employee be given to complete each session?

Selecting "Before the Next Scheduled Session" will leave the session open until the next recurrence of the program.

Ex. If the program is a month long, it will, by default, be due on the final day of the month. This setting can be changed to # of days, allowing a session to be due on the 5th day of the month for example.

After x Days will close the session after the respective number of days.

When does the program end?

Will this coaching program ever end? If so, select a date or number of occurrences to end after. Additionally, a program can be manually finished at any time.

If a date is selected, no new coaching sessions will be created after the respective date.

If a number of occurrences is selected, the coaching program will occur for that many iterations before stopping.

Program session dates

Based on the recurrence options selected, the dates that the program's sessions will be generated will display. Verify the expected schedule matches the schedule presented.

Scheduling - For Single Employee

If you selected, "select specific employees" and chose a single employee, you will have the option of scheduling a recurring meeting time to discuss the agenda or can proceed with receiving passive updates without a meeting.

"With Meeting" Scheduling Question

When do the meetings start? (with meeting)

Select the First Meeting Date, Time Zone, and Duration to establish the first recurrence of the 1:1.

If the 1:1/update should occur every Monday, select the next Monday on the calendar to begin.

How often do meetings repeat?

Choose how often the 1:1/update agenda should be created.

If it's once a week on a specific day, choose "Week".

If it's once a month, choose "Month".

When should the agenda open for the employee?

Choose how many days before the scheduled meeting time the agenda should be made available for the employee to complete.

When is each session agenda due by the employee?

Select if the employee should complete the agenda by:

  • the start of the set meeting time

  • before the next agenda opens,

  • "x" amount of days after the agenda is made available

When does the recurrence end?

Would you like for this 1:1 to run indefinitely, after a set amount of occurrences, or end on a certain date?

If "Never" is selected, the session will continue to reoccur until manually finished.

If "After x Occurrences" is selected, the sessions will finish after it's occurred the set amount of times.

If a specific date is selected, no new sessions will be created after the respective date.

Session Meeting dates

Based on the recurrence options selected above, the first 5 meeting dates, if applicable, your session will occur will be displayed. Verify the expected cadence matches the meeting dates summary presented.

"No Meeting" Scheduling Question

Question Description

When are updates due? (no meeting)

Select the First Update Date and Duration to establish the first recurrence of the 1:1. (1:1)

If the 1:1/update should occur every Monday, select the next Monday on the calendar to begin.

How often do updates repeat?

Choose how often the 1:1/update agenda should be created.

If it's once a week on a specific day, choose "Week".

If it's once a month, choose "Month".

When should the agenda open for the employee?

Choose how many days before the scheduled meeting time the agenda should be made available for the employee to complete.

Agenda

Create the program's agenda by adding agenda items.

Agenda items can be optional or required, but at least 1 agenda item must be required (not optional) in order to save.

If you started with a template, the agenda will auto-populate with the agenda items from the selected template. These agenda items may be editable, depending on the template's settings.

A snapshot can capture up to 8 metrics across a single timeframe or one metric across two timeframes.

A link to a third-party item for the employee to review, complete, etc. Example a LMS module.

Note - The employee and manager will both be responsible for marking this item as complete.

Embed Media

Iframe a YouTube or Vimeo video or 3rd party website directly into the coaching agenda.

No action for the employee to take.

Be aware that not all platforms allow 3rd party embedding.

For embedding a video from YouTube or Vimeo, you can input the share URL or iframe embed code.

If you are embedding a Google Sheets URL, we recommend embedding a URL generated through the  "Publish to web" share option rather than "Share with others". Learn more here.

File Upload

An action for the employee to take and an accompanying file.

Employee will be prompted to acknowledge the uploaded file.

Checkboxes

A list of options for the employee to select, choosing all that apply. An "Other" option is available as well.

Gong Calls

Available if the Gong integration is enabled and authorized.

Attach one of more Gong calls for the employee to review OR Employees attach one or more of their Gong calls when the session opens.

Seismic Learning

Available if the Seismic Learning API within the Seismic integration is authorized.

Select from any public, published Seismic Learning lessons and add them to coaching agendas.

When selecting a lesson, there is no filtering for lessons assigned to a particular employee(s), but rather you will be presented with a list of all public, published lessons that can be added into the coaching agenda.

Co-coaches (optional)

Select a user(s) to assist during the session.

Co-coaches will have visibility into and approval access on the session in order to assist the manager.

Any user regardless of permissions can serve as a co-coach expect employees selected as the program's participant(s).

Attribution Metrics (optional)

Select up to ten metrics that you would like tracked/correlated for the duration of the program.

Similar to defining an objective, if your program has a specific purpose and explicit start and end dates, we recommend establishing attribution metrics.

For example, if you're running an eight week program around setting great appointments you can define "Appointments Held" and "Appointments Set" as your attribution metrics to determine the program's effectiveness over time, per-person.

If you're running a standard, never-ending, weekly 1:1, we would not advise selecting attribution metrics as the attribution calculation will be less helpful with gauging the effectiveness of the program over time.

Note: Attribution Metrics cannot be changed once the program is saved.

How is Attribution Calculated?

First, a baseline value is derived by taking the four-week metric average leading up to the program's start date. Then for every recurring session, a current value is derived by taking the last FULL week's metric average. The % difference is then calculated between the current and baseline value.

We do not recommend using metrics typically measured on a monthly/quarterly basis for attribution given the attribution's usage of weekly averages.

Rating Categories (optional)

Select rating categories you wish to track and correlate with the program.

Rating categories can be added or removed after the program's creation.

Note: If more than one rating is present, Ambition will take an average of the submitted ratings. This average can be helpful when searching for specific sessions, as it's a filter when viewing sessions and exportable in the coaching reports.
