How do I create a check-in?

1:1 Check-Ins

1:1 check-ins can be created for a single user that are either scheduled or completed in line (live). Additionally, 1:1 check-ins can be tied into an existing coaching programs to ensure that all coaching data is tracked in the coaching utilization reports.

Create a 1:1 Check-In

Users with the "Coaching: Create Check-In" or "Coaching: All Access" permission will be able to create check-ins.

"Can Create Check-Ins for Anyone" or "Coaching: All Access" allows creation of an check-in for anyone.

Combined with manager permissions, "Can Create Check-Ins for Subordinate Users" allows for creation of check-ins for users the manager manages.

What's a subordinate user?

Subordinate users are any members of a group where the manager is set as the group's manager, or the users where the manager has been selected in the "manager" field of their user's settings.

Special Note if you manage another manager - If you are listed as a manager's manager within their user settings, any employees that roll up to them will also be considered your subordinate users.

Viewing a manager's managerial dashboard and clicking "Contributors" will reveal all users that Ambition considers the manager's subordinate users.

1. Create a 1:1 check-in via:

  • the Quick Actions button (plus sign in the upper right corner), click Coach and Develop > Check-In

  • a User or Managerial Dashboard > Coaching tab > New Coaching Item > Check-in

  • left navigation > Coaching > Check-Ins

  • left navigation > Coaching > Manage > Check-Ins > Overview

 

2. Complete the check-in form.

Optional.

Provide a name for the check-in, ex. Amber's 1:1, Alex's Tuesday Check-In.

Description

Optional.

Describe the check-in, ex. Bi-weekly check-in with Amber.

Objective

Optional.

If the check-in has a specific purpose, call coaching recurring check-in, we recommend defining an objective.

 

3. Select the Who and When of the check-in.

Structured agenda that should be completed before 1:1 meeting time to allow for coaching conversations based on employee's answers.

Request an Update

Agenda will be completed by employee.

No explicit time is set to review check-in with Manager.

If "request an update" is selected, you will additionally have the question of, "Is this a recurring update?"

Passive coaching tool that allows managers to send a brief agenda for their employee to complete.

The format is similar to a 1:1, but does not require a specified meeting time.

4. Schedule 1:1 for Later and Request an Update check-in types will be prompt you to pick the "when" of your check-in.

When the manager and employee will meet to discuss the completed check-in agenda.

Meeting durations can be selected in five minute increments.

A calendar invite will be sent to both the employee and manager in order to reserve the selected date and time.

Agenda Open Date

Option for Scheduled Check-in or a Requested Update.

When the employee will be granted access to the check-in's agenda items.

Agenda Due Date

Option for Scheduled Check-In or a Requested Update.

When the employee will be responsible for completing the check-in's agenda items.

Time Zone

Option for Scheduled Check-In or a Requested Update.

Specify the time zone to be used when scheduling the agenda's start and due date.

Add Zoom Meeting

Available if the Zoom integration is authorized.

Add a Zoom meeting link to your check-in. The Zoom link will be accessible on the calendar invite/file, and there will be a "Join Zoom Meeting" option when viewing the check-in within Ambition.

 

If "Yes" was selected as the answer to the "Is this a recurring 1:1 or update", you will establish the recurrence for your 1:1 or update.

Scheduling Question

Question Description

When do the meetings start? (1:1)

When are updates due? (Update)

Select the First Meeting Date, Time Zone, and Duration to establish the first recurrence of the 1:1. (1:1)

Select the First Update Date and Duration to establish the first recurrence of the 1:1. (1:1)

If the 1:1/update should occur every Monday, select the next Monday on the calendar to begin.

How often do meetings repeat? (1:1)

How often do updates repeat? (Update)

Choose how often the 1:1/update agenda should be created.

If it's once a week on a specific day, choose "Week".

If it's once a month, choose "Month".

When should the agenda open for the employee?

Choose how many days before the scheduled meeting time the agenda should be made available for the employee to complete.

When is each Check-In agenda due by the employee?

(not applicable for recurring Updates)

Select if the employee should complete the agenda by the start of the set meeting time, before the next agenda opens, or "x" amount of days after the agenda is made available.

When does the recurrence end?

Would you like for this 1:1 to run indefinitely, after a set amount of occurrences, or end on a certain date?

If "Never" is selected, the check-in will continue to reoccur until manually finished.

If "After x Occurrences" is selected, the check-in will finish after it's occurred the set amount of times.

If a specific date is selected, no new check-ins will be created after the respective date.

Check-In Meeting dates

Based on the recurrence options selected above, the first 5 meeting dates, if applicable, your check-in will occur will be displayed. Verify the expected cadence matches the meeting dates summary presented.

 

Agenda

5. Compile the check-ins's agenda by selecting a Template from the "Start with Template" dropdown or adding agenda items from the "Add New Item" dropdown.

A check-in can contain any combination of the available item types.

At least 1 agenda item must be required (not optional) in order to save unless the check-in type is "Start 1:1 Now".

 

When starting with a template, the check-in's agenda will auto-populate with the agenda items from the selected template. These agenda items may be editable, depending on the template's settings. If a template does not yet exist, learn more about creating check-in templates here.

Metric Snapshot

Available if the "Coaching: Metric Snapshot Item" feature has been enabled.

A question for the employee to answer that is built upon preselected metrics and time frames.

A snapshot can capture up to 8 metrics across a single timeframe or one metric across two timeframes.

Pipeline Snapshot

Available if the "Pipeline Intelligence: Pipeline Views" feature has been enabled.

A question for the employee to answer that is built upon a preconfigured pipeline view or template.

Poll

A question that is answered by the employee on a 1-5 point scale.

Example: On a scale from 1-5 (1=low & 5= high) what's your level of confidence in your product knowledge?

External URL

A link to a third-party item for the employee to review, complete, etc. Example a LMS module.

Note - The employee and manager will both be responsible for marking this item as complete.

Embed Media

Iframe a YouTube or Vimeo video or 3rd party website directly into the coaching agenda.

No action for the user to take.

Be aware that not all platforms allow 3rd party embedding.

For embedding a video from YouTube or Vimeo, you can input the share URL or iframe embed code.

If you are embedding a Google Sheets URL, we recommend embedding a URL generated through the  "Publish to web" share option rather than "Share with others". Learn more here.

File Upload

An action for the employee to take and an accompanying file.

Employee will be prompted to acknowledge the uploaded file.

Checkboxes

A list of options for the employee to select, choosing all that apply. An "Other" option is available as well.

Example: Which products would you like additional training on? Choose all that apply.

Multiple Choice

A list of options for the employees to select, choosing only one. An "Other" option is available as well. Great fit for True/False or Yes/No type questions.

Example: Have you completed your monthly review? Yes or No.

Gong Calls

Available if the Gong integration is enabled and authorized.

Attach one of more Gong calls for the employee to review OR Employees attach one or more of their Gong calls when the check-in opens.

Zoom Calls

Available if the Zoom integration is enabled and authorized.

Employees attach one of more of their Zoom calls when the check-in opens.

Seismic Learning

Available if the Seismic Learning API within the Seismic integration is authorized.

Select from any public, published Seismic Learning lessons and add them to coaching agendas.

When selecting a lesson, there is no filtering for lessons assigned to a particular employee(s), but rather you will be presented with a list of all public, published lessons that can be added into the coaching agenda.

Co-Coaches (optional)

6. Optionally select co-coaches to assist during check-ins.

If selected, a co-coach will have visibility into and approval access on the check-in in order to assist the manager.

Don't see the Co-Coaches option? If your package supports co-coaches, the feature can be enabled by any user with admin permissions. Left navigation > Administration > Features. Locate the "Coaching: Co-Coaches" feature, and toggle "On".

 

7. Schedule or complete check-in.

If you selected "Schedule 1:1 for Later" in Step 1, click the Create Check-In button.

If you selected "Start 1:1 Now" in Step 1 and filled out the agenda items in person, click the Complete Check-In to record the coaching session.
